How we work

  • Information handover +

Once the event production enters its final phase, stage management comes into play. The Show-Caller should be involved from the weeks leading up to the event. The production manager must pass on all relevant information to the Show-Caller. The more complete the information transfer, the lower the risk during live execution.

  • Creating the running order +

Using all the information received, Show-Caller creates an event running order document or technical script. This document is then reviewed with all teams involved in the live event, with the aim of applying improvements and identifying critical execution points.

  • Rehearsals +

Our recommendation: rehearse, rehearse and rehearse. We know that time at events comes at a cost, but we also know that this investment is essential to ensure the success of the event. Everything — even what seems fully under control — must be rehearsed.

The Running Order

The running order or technical script is the working script that outlines, in chronological sequence, all entrances and exits of speakers or performers, technical changes, and special effects.

It provides a clear and organized overview of all key moments of the event—entrances, exits, videos, lighting, sound, transitions, and timing—indicating what happens, when it happens, and who is responsible.

For the stage manager (show-caller), the running order serves as a roadmap, a vital tool to coordinate and synchronize all technical and artistic teams, ensuring that every action unfolds precisely as planned.

Frequently Asked Questions

  • What is the role of a stage manager in a corporate event? +

The stage manager is responsible for coordinating the live execution of the event. They oversee adherence to the script, manage timing, and ensure smooth communication between all technical and production teams so that every moment unfolds as planned.

  • What types of events require professional stage management? +

Stage management is recommended for events involving multiple teams or phases: conventions, conferences, brand presentations, institutional galas, product launches, or ceremonial events. It ensures precision and consistency in every transition.

  • When should the stage manager be involved in the production process? +

Ideally from the planning stage or during rehearsals. This allows the stage manager to familiarize themselves with the venue, schedule, and suppliers, anticipate potential issues, and optimize coordination during the event.

  • What is the difference between stage management and event production? +

Event production designs and plans the event, while stage management oversees its operational execution in real time. The stage manager translates the script into coordinated actions, ensuring that every element is executed with precision.

  • Does the stage manager work with the client’s technical team or their own resources? +

The stage manager integrates into the event’s technical and human structure, collaborating with the client’s team or the production company. They do not provide their own technical equipment but ensure that all departments operate in sync, guaranteeing a smooth experience for the client.
